We had a non-standard semi-Dita system for our technical documentation. Instinctools did a great job converting the content to standard Dita, and migrating it to their DitaWorks software.

The DitaWorks software is a pleasure to use. It is easy to see where topics and images are used. I also often use the functions to find unlinked topics, as well as the topic histories. Our technical documentation team would not be able to handle the increased workload without the productivity improvements that DitaWorks has given.

They have also done a number of other customisations and improvements since the initial project.

Instinctools is good at understanding the technical issues - once an issue is outlined, they do not need repeated explanation. They also do not simply accept a proposed solution, but they think about it and propose a better solution. I was really impressed by the custom interface they built for us - we outlined the requirements, and they implemented them in a user-friendly way that makes the interface a pleasure to use.

Please introduce your company and your role within the company.
*instinctools is a software product development and consulting company delivering software solutions for businesses of various sizes and industries globally. I’m a Co-founder and VP of Business Development, responsible for our company growth and new partnership opportunities.
What is the story behind starting this company?
We began as a product start-up in 2000, creating a content management system. Shortly after, we introduced it to our first enterprise clients in the automotive and manufacturing industries. As demand grew, we received requests from these and other clients for software support and legacy modernization. To meet these needs, we expanded our team with qualified engineers and rapidly grew to a team of 300+ experts.
What are your company’s business model–in house team or third party vendors/ outsourcing?
We have a full-time employed in-house team of 300+ software engineers, data analysts, QA specialists, UX designers, project managers, and other professionals. Our Development centers are open in Poland and Kazakhstan.
How does your company differentiate itself from the competition?
More than 600 successfully released projects prove our software development expertise in respective domains. Our clients value us for transparency, profound expertise, vast tech stack, and a proactive approach, that brings value to projects and, in the end - to their business.
What industries do you generally cater to? Are your customers repetitive? If yes, what ratio of clients has been repetitive to you?
We work with SMBs and global enterprise companies from the following industries: fintech, healthcare, manufacturing, automotive, e-commerce and retail, media and entertainment, and ad-tech companies
More than 70% of our projects are based on long-term cooperation with our clients. We build different software products for our customers, maintain support, modify, and renew them following the market need.
Please share some of the services that you offer for which clients approach you the most for?
We mostly provide full-fledged software product development services that include business analysis, innovation consulting, UX design, quality assurance, and support. 
We also provide dedicated teams for the development of custom systems, off-the-shelf solutions integration, legacy code modernization, BPO, and RPA development.
What is your customer satisfaction rate according to you? What steps do you take to cater to your customer’s needs and requirements?
We have an established corporate process for regular customer satisfaction and review gathering. Our customers have the possibility to evaluate the quality, transparency, communication, speed, and cost-effectiveness of our service. More than 90% of our clients estimate our services as 5/5.
What kind of support system do you offer to your clients to cater to their queries and issues?
Our customer has a single point of contact with *instinctools - the delivery manager, who is leading the dedicated team to the customer's success. Usually, the delivery manager is located in the same timezone as a client, and it's available for contact during the customer's working hours. There is an option of 24/7 support, and usually, our customers choose it for application maintenance projects.
What kind of payment structure do you follow to bill your clients? Is it Pay per Feature, Fixed Cost, Pay per Milestone (could be in phases, months, versions etc.)
We do have fixed-budget projects, but mostly, we work in a time and material model when our customer pays for transparently billed working hours of the engineering team.
Do you take in projects which meet your basic budget requirement? If yes, what is the minimum requirement? If no, on what minimum budget you have worked for?
We cooperate with companies that are ready to invest a minimal budget of $15,000.
What is the price range (min and max) of the projects that you catered to in 2023?
Our project's price range varied throughout the year from $15000 to $2000000, depending on the team composition project length, and complexity.
Where do you see your company in the next 10 years?
We are a bigger company with even stronger expertise in demanding technologies. And we continue helping our customers innovate and stay ahead of the competition.
